Must know
- Off by default. With it off, nothing is registered until checkout is paid. The CCM import turns it on for a migrating club, with 7 days, because CCM recorded the signup when the member pressed Confirm.
- With it on, Confirm books the registration straight away: one Unpaid invoice, due on the release date, and a held seat in each league. Checkout then pays that same invoice, by card or with Pay at the club or by mail. No second invoice is made.
- An unpaid booking is released automatically once its days run out. The invoice is cancelled, the entry is deleted and the seat goes back. The member gets no email when this happens.
- Choosing Pay at the club or by mail at checkout confirms the registration, and it is then never released. You chase the payment through the UnPaid reports, as with any pay-at-club registration.
- Club credit is not applied to a booking automatically at checkout. Staff can apply it on the invoice.
1
Turn it on
Go to Settings → Club Settings. On the Payments card, under Pay at club or by mail, switch on Book registrations at Confirm. The help reads “The signup wizard’s Confirm books the registration and holds the member’s place before they pay — it shows on the UnConfirmed League Signups report as awaiting payment. An unpaid booking is released after the number of days below. Off means the registration is made when checkout is paid.”
2
Choose how long a booking is held
Set Release unpaid bookings after (days). It must be between 1 and 60, and starts at 7. Click Save changes.
3
What the member sees
On Confirm your registration, a red note reads Confirming books your registration now. It must be paid within N days — otherwise your entry will be deleted. The button reads Confirm and continue to payment instead of Continue to checkout. At checkout a band gives the invoice number and the release date, followed by You must complete payment before then, otherwise your entry will be deleted! The total is the booked total. The discount-code box, the gift-card field and the payment-plan offer are hidden, because the price was fixed at Confirm.
4
Find the open bookings
Under Reports → Club reports, UnConfirmed League Signups lists each open booking with Registration Booked — awaiting payment and a Released If Unpaid date. UnPaid Members lists a membership on an open booking as Booked — awaiting payment (released YYYY-MM-DD). On a league’s Members tab the curler shows as Booked — awaiting payment, and you can filter on that status.
5
Take the payment
The member can pay at checkout or later from Invoices in the Members Portal. You can also record a cheque on the invoice yourself. Any of these confirms the registration, and the seat is kept.
What happens to a booking
- The seat is held. A booked seat counts against the league’s limit, so another curler sees the league as LIMIT REACHED once the booking takes the last place. A booking does not put the curler on a team roster, and does not grant the membership, until it is paid.
- Confirm pressed again for the same registration returns the same booking. If the member goes back and confirms something different for the same curler and league, the first booking is cancelled and its seat released, so only the new invoice is owing.
- Payment in progress. A booking is not released while a card payment on it may still be in progress, for up to two hours. A new Confirm cannot replace it during that time either.
- The booked price stands. Checkout charges the booking’s total even if an early bird ends between Confirm and payment. If the cart changes before paying, the booking is replaced by a fresh checkout at the current price.
- Release. Bookings are checked every hour. A released booking’s invoice becomes Cancelled, the entry the booking made is deleted, and the seat is available again. A booking that has had any money recorded on it is never released.
- Reminders. A booking’s due date is its release date, so a Payment Due notification rule counts down to it. Use one if you want members reminded before their entry is deleted.
