Must know
  • A venue takes its visibility from the resource it is linked to. Resources are the spaces under My Organization → Facilities, which is the Resources list in the classic view. Pick the resource with the Resource picker on the venue form.
  • A resource set to Public makes the venue public. A resource set to Private makes it private. A venue with no resource, or linked to a resource left on Club setting, follows Show sheets publicly, unless a resource sets its own Access under Settings → Club Settings → Ice sheets.
  • A private venue’s bookings are hidden from the public: people who are not signed in, and accounts that are not part of your club. Hidden means the club Calendar, the venue’s card on the Registration page, the venue’s own page, its available times and checkout.
  • Your club’s members, their guardians and your staff still see and book a private venue as usual.
  • TV boards are not affected. A screen showing Ice bookings or Today’s ice still shows a private venue’s bookings.

How a venue’s visibility is decided

A resource’s Access is set in its form: Club setting, Public or Private on the classic Resources screen, or Club-wide setting, Public or Private on a facility’s Spaces tab in the new view. See What are facilities and spaces?.
Turning Show sheets publicly off makes every venue that has no resource of its own private, including venues set to Open Registration. Link a venue to a resource set to Public to keep it open to everyone.

Open the venue

Go to Registrations → Venues & Rentals. Start a new venue with Add Booking, or open an existing one.

Pick the resource

On the Requirements step (or the Requirements tab of the venue’s configure sheet), under Registration Mode, open Resource. Choose a resource, which is listed as facility — resource (its Access), or No resource (follows Show sheets publicly).

Check the line under the picker

It tells you the result: Everyone can see and book this venue on the club site. or Only club members can see and book this venue: it is hidden from the public calendar, the booking list and guest checkout.

Save the venue

The change applies to the club site straight away.
If the venue uses Open Registration but comes out private, the form warns: This venue is open to guests, but its resource is private, so guests will not see it. Make the resource Public on the Resources screen, or link a public resource.

What the public sees

For someone outside the club, a private venue does not exist:
  • Calendar. Its reservations and its closures are left off. A Club closed closure, which is not tied to a venue, always shows.
  • Registration page. The venue’s card is not listed.
  • The venue’s page. Opening /bookings/{venue} shows the page-not-found screen, the same as for a venue that does not exist.
  • Checkout. A cart with the venue in it is refused with Booking not found or unavailable.
Reservations filed under a booking type set to Visible to: Members only are left off the calendar for the same people, whatever the venue. See What are booking types?. Staff screens are not affected: Today’s Ice, the venue list and the dashboard show every booking.

Coming from CCM

In CCM, a resource whose access was not Public disappeared for guests: its column, its events and its booking. A migrated club works the same way. The import links each imported venue to its resource. Each resource keeps CCM’s access: Public stays Public, and Registered or Special becomes Private. So a resource that was hidden from guests in CCM is still hidden. CCM’s TV screens showed every booking whatever its access, and so do the TV boards here.
