Must know
- The Communication → Notifications page is available when a superadmin enables Notification Rules for your club. Rules that already exist keep firing whether or not the page is visible.
- Send Test on a rule is not a send-to-me: it runs the rule for real and reports “Test sent: {sent} sent, {skipped} skipped”. Staff and membership-holder rules reach their real audience.
- Only ten time-based triggers are processed by the scheduler (listed below). Custom does nothing on its own; the remaining triggers fire from the action itself (a payment, a recurring charge, a waitlist opening) rather than on a timer.
- Built-in system rules (marked with a lock) can be enabled, disabled and re-worded but not deleted.
1
Trigger
Click Add Notification Rule and pick the Trigger Event. The ten the scheduler processes on a timer are: Membership Expiring, Membership Expired, Payment Due, Payment Overdue, Payment Received, Program Reminder, Event Reminder, Birthday, Registration Opening and Registration Closing. Others in the list — Volunteer Shift Reminder, Waitlist Opening, the Recurring Charge and Payment Plan events, Payout events, Negative Balance Warning, Program Enrollment, Program Cancelled — fire when that thing happens.
2
Delivery
Choose Send Email, Send SMS or Post Announcement, and the Timing: Immediately, or a number of Minutes/Hours/Days/Weeks/Months Before, After or At the trigger. Announcements post club-wide and skip the recipients step.
3
Recipients
Pick Guardians, Staff & Coaches, Membership Holders (optionally Filter by Membership Groups) or Custom Filter.
4
Template and Review
Write the Email Subject and Email Body (or SMS Message / Announcement Body) using the Available Placeholders, click Preview, then Create Rule.
